Bylaws of The Jain Organization of Youth

Revised as of 10/01/05

 

Article I: Name

We, the youth of the Jain Society, will be officially recognized as the Jain Organization of Youth. (JOY).

 

Article II: Purpose

A.     To help increase the understanding of Jainism among the youth.

B.     To aid the Jain Society of Greater Detroit in running smoother programs and functions.

C.     To help build the spirit of Jainism socially and spiritually within the Jain Youth Community.

D.     To increase Jain Study Class participation.

E.      To foster a sense of community among Jain Youth.

F.      To make a difference even outside the vicinity of the Jain Youth Community.

 

Article III: Membership

A.     One must pay dues to become a member; Jain Society members must pay 3$ and non- Jain Society members must pay 13$.

B.     One must be 13-25 years in age. (Inclusive)

C.     One may come to an event if their 13th birthday is in the month of the activity.

D.     Older (college) members are encouraged to come to the youth activities even if they do not meet requirements for such activities.

E.      One must be a Jain Society member to hold lifetime membership; lifetime memberships is 15$.

 

Article IV: Executive Board

            A. Consists of a ten-member committee that are responsible for:

1.      Organizing and planning JOY’s activities for a period of one year.

2.      Keeping the youth and the Jain Society’s Executive Committee informed of JOY’s activities.

3.      Helping better the Jain Community.

4.      Reviewing the bylaws at least once during the one-year term, and if necessary, revising it with General Body approval.

5.      Presenting a position report at the end of the term regarding the year’s events using the guidelines provided in the Jain Organization of Youth’s Guidelines for the Executive Board Final Reports.

B.     Positions and Duties (in order)

1.      President

a.      Responsible for JOY.

b.      Makes the agenda for each meeting.

2.      Vice President

a.      Responsible for JOY if the President is unavailable.

b.      Is the representative to the Jain Society of Greater Detroit’s Executive Committee.

c.      Maintains the official binder for the term.

3.      Secretary

a.      Responsible for JOY paperwork.

b.      Keeps track of the minutes for all meetings and sends them to all of the Executive Board members, as well as Jain Society President, by the following week.

c.      Makes sure that all Executive Board members are well informed.

4.      Treasurer

a.      Is in charge of all JOY’s funds.

b.      Keeps an account of all the belongings/properties of JOY.

c.      Assists in proposing a budget to the Jain Society by the end of the calendar year.

d.      Gives an accurate treasurer’s report to the Executive Board at the first meeting of every month.

e.      Collects money during JOY activities.

5.      Public Relations (2)

a.      Updates the directory/labels program.

b.      Accounts for all of JOY’s memberships.

c.      Publicizes or supervises the publicizing for all of JOY’s events, including updating the JOY Bulletin Board.

6.      Publications Officer

a.      Writes/compiles and publishes the JOY newsletter.

b.      Assists the Public Relations.

c.      Publishes a JOY news supplement in the Jain Vani.

7.      Historian

a.      Takes photographs at all JOY events.

b.      Makes the Senior Yearbook with the help of the Publications Officer.

8.      Web Director

a.      Updates and maintains the JOY webpage.

b.      Works with the JOY Publications officer to add articles and notices online.

9.  Advisors (at least one adult, preferably two)

a.      Mediates between the Jain Society and JOY.

b.      Serves a three-year term.

c.      In charge of JOY elections unless an election committee is selected by board.

d.      BOT (Advise advisors) has final say to interpret the JOY by-laws.

C.     All Executive Board members must attend 75% of Jain Study Classes or they will be dropped from the committee.

 

Article V: Elections

A.     One must be a member of JOY in the preceding year to run for office; to run for President one must have previous experience on the JOY Executive Board.

B.     One must be willing to invest time and energy in making the youth group successful.

C.     Elections will be held annually during Paryushan on the day of Swapna Darshan.

D.     The new board will take office on the day of election.

E.      Ballots will be counted by the advisor or the selected election committee.

F.      In case of a tie-vote, re-election will take place.

G.     One must be a paid JOY member to vote during elections.

 

Article VI: Executive Board Meetings

A.     The Executive Board will meet on the day of every study class and must stay for study class.

B.     If any Executive Board member misses six Executive Board meetings, he/she will be dropped from the Executive Board.

C.     If any Executive Board member must miss Executive Board meetings because of extenuating circumstances, he/she must inform the JOY President in advance for his/her absences to be excused.

D.     If a board member is absent or one hour tardy without a prior notice to the President, he/she must donate $1 to the JOY account.
